QuickBooks Online vs. Desktop: Which Should Your Business Use?

QuickBooks dominates small business accounting software, but it actually comes in two very different flavors: QuickBooks Online (QBO) and QuickBooks Desktop. They share a name and a lot of functionality, but the right choice depends on how you work, not just which one is "better."

QuickBooks Online: built for access and collaboration

QBO is cloud-based, which means you and your bookkeeper can log in from anywhere, on any device, and always be looking at the same live data. Updates happen automatically, bank feeds connect directly, and there's nothing to install. It's billed as a monthly subscription rather than a one-time purchase.

This is the version we work in most often with clients, simply because remote collaboration is built in from the ground up — you don't need to email files back and forth or worry about version conflicts.

QuickBooks Desktop: built for depth and control

Desktop is installed locally on a specific computer (or local network) and tends to offer deeper industry-specific features, especially for inventory-heavy or manufacturing businesses. It's a one-time purchase (with optional annual upgrades), which some business owners prefer over an ongoing subscription. The trade-off is that access is tied to that machine or network, and collaboration typically means sharing files rather than a live shared view.

How to decide

• Choose Online if: you want remote access, multiple people (including your bookkeeper) need simultaneous access, or you value automatic updates and bank feed integration.
• Choose Desktop if: you have complex inventory or job-costing needs Desktop handles more robustly, you're not concerned with remote access, and you prefer a one-time cost structure.

Switching later is possible, but not painless

Intuit does offer migration tools between the two, but moving historical data, especially multi-year files, can involve some cleanup. If you're starting fresh or already frustrated with your current setup, it's worth choosing deliberately rather than switching twice.
